Terms of Service

You must be at least 18 years of age and have the legal capacity to enter into a binding contract in your jurisdiction. By using RolePilot, you represent and warrant that you meet these requirements. If you are using RolePilot on behalf of an organisation, you represent that you have the authority to bind that organisation to these Terms.

• You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.
• You must notify us immediately at privacy@role-pilot.com of any unauthorised access to or use of your account.
• You may not share your account with any other person or create multiple accounts.
• You must provide accurate, current, and complete information when registering and keep it up to date.
• You may delete your account at any time via Settings → Delete Account. Deletion is permanent and irreversible and removes all data associated with your account.

You agree not to:

• Use the platform for any unlawful purpose or in violation of any applicable local, national, or international law or regulation.
• Systematically scrape, crawl, spider, or extract data from the platform by automated means without our prior written consent.
• Reverse engineer, decompile, disassemble, or attempt to derive the source code of any part of the platform.
• Probe, scan, or test the vulnerability of the platform or any related system or network without our written authorisation.
• Attempt to gain unauthorised access to the platform, its servers, databases, or any connected infrastructure.
• Upload or transmit any malware, viruses, or any code designed to damage, disable, or interfere with the platform or its users.
• Impersonate any person or entity, or misrepresent your affiliation with any person or entity.
• Use the platform in any manner that could disable, overburden, damage, or impair it, or interfere with any other user's use.
• Violate the terms of service of any third-party job providers whose data is surfaced through the platform.

All content, trademarks, trade names, logos, design, software, code, and AI-generated outputs produced by RolePilot are the property of RolePilot or its licensors and are protected by applicable intellectual property laws. You are granted a limited, personal, non-exclusive, non-transferable, revocable licence to access and use the platform solely for your personal, non-commercial job search activities.

Your content: Any content you upload to RolePilot — including CVs, cover letters, and notes — remains your property. By uploading content, you grant RolePilot a limited, non-exclusive, royalty-free licence to store, process, and display that content solely to provide the service to you. We will not use your uploaded documents to train AI models or share them with third parties except as required to deliver the service.

RolePilot is currently available free of charge. We reserve the right to introduce paid subscription plans at any time. We will provide at least 30 days' notice before requiring payment for features that are currently free. Any introduction of paid features will not automatically charge you — you will be required to actively subscribe.

Where paid plans are introduced, billing terms, pricing, cancellation rights, and refund policies will be set out in a supplemental subscription agreement presented at the point of purchase and incorporated into these Terms by reference.

Your use of the platform is governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the platform, you consent to the collection and use of your information as described in the Privacy Policy.

The platform may contain links to third-party websites, job listings hosted by external companies, or services operated by our data providers. These third-party services are not under our control. We are not responsible for their content, privacy practices, or terms of service. Your use of any third-party service is governed solely by that service's terms. We encourage you to review the privacy policies of any third-party service you access through the platform.

THE PLATFORM IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, ACCURACY, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT: (A) THE PLATFORM WILL BE UNINTERRUPTED, ERROR-FREE, OR FREE OF HARMFUL COMPONENTS; (B) ANY JOB LISTING DATA WILL BE ACCURATE, COMPLETE, OR CURRENT; (C) ANY AI-GENERATED OUTPUT WILL BE SUITABLE FOR YOUR PURPOSE; OR (D) ANY DEFECTS WILL BE CORRECTED.

Some jurisdictions do not permit the exclusion of implied warranties. In such jurisdictions, the foregoing exclusions apply to the maximum extent permitted by law.

TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, ROLEPILOT SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING WITHOUT LIMITATION LOSS OF PROFITS, LOSS OF DATA, LOSS OF GOODWILL, SERVICE INTERRUPTION, COMPUTER DAMAGE, OR SYSTEM FAILURE, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF OR INABILITY TO USE THE PLATFORM, EVEN IF ROLEPILOT HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

IN NO EVENT SHALL ROLEPILOT'S TOTAL CUMULATIVE LIABILITY TO YOU FOR ALL CLAIMS ARISING OUT OF OR RELATING TO THESE TERMS OR YOUR USE OF THE PLATFORM EXCEED THE GREATER OF: (A) THE TOTAL FEES YOU PAID TO ROLEPILOT IN THE 12 MONTHS IMMEDIATELY PRECEDING THE EVENT GIVING RISE TO THE CLAIM; OR (B) £50 (FIFTY POUNDS STERLING).

Some jurisdictions do not allow the exclusion or limitation of liability for consequential or incidental damages. In such jurisdictions, our liability is limited to the maximum extent permitted by applicable law. Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded by law.

You agree to indemnify, defend, and hold harmless RolePilot and its officers, directors, employees, contractors, and agents from and against any and all claims, liabilities, damages, losses, judgments, awards, costs, and expenses (including reasonable legal fees) arising out of or relating to: (a) your violation of these Terms; (b) your use of the platform; (c) any content you upload or transmit through the platform; or (d) your violation of any applicable law or regulation or the rights of any third party.

We may suspend or terminate your access to the platform at any time, with or without cause and with or without notice, including where we reasonably believe you have violated these Terms. We will endeavour to provide notice where practicable.

You may terminate your account at any time by using the Delete Account feature in Settings. This will permanently and irreversibly delete all data associated with your account.

Upon termination for any reason: your right to access and use the platform ceases immediately. Sections 4, 5, 7, 9, 10, 11, 13, and 14 survive any termination or expiry of these Terms.

These Terms are governed by and construed in accordance with the laws of England and Wales. Subject to the paragraphs below, any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

US users: Nothing in these Terms limits any rights you may have under applicable US federal or state law. These Terms do not waive any mandatory consumer protection rights afforded to you under the law of your state of residence.

EU users: If you are resident in an EU member state, you may also benefit from any mandatory provisions of the consumer protection laws of your country of residence. Where such provisions would provide greater protection than the laws of England and Wales, those provisions shall apply to the extent required by law. You may also use the European Commission's Online Dispute Resolution platform at ec.europa.eu/consumers/odr.

We may update these Terms from time to time to reflect changes in the platform, legal requirements, or our business. We will notify you of material changes via email and/or an in-app notice at least 30 days before the updated Terms take effect. If you do not agree to the revised Terms, you must stop using the platform before the effective date.

Your continued use of the platform after the effective date of any changes constitutes your acceptance of the updated Terms. We will always maintain a current version of the Terms at role-pilot.com/terms.

• Entire agreement: These Terms, together with our Privacy Policy, constitute the entire agreement between you and RolePilot concerning the platform and supersede all prior agreements.
• Severability: If any provision of these Terms is held to be invalid or unenforceable, that provision shall be modified to the minimum extent necessary to make it enforceable, and the remaining provisions shall continue in full force and effect.
• No waiver: Failure to exercise any right under these Terms shall not constitute a waiver of that right.
• Assignment: You may not assign or transfer your rights or obligations under these Terms without our prior written consent. We may assign our rights and obligations without restriction.
• Force majeure: We shall not be liable for any failure or delay in performance resulting from causes beyond our reasonable control.
